Describe the component
Start with the application and manufacturing process. If available, include a drawing reference, part weight and the material currently used. Let the supplier know whether the part is visible, structural or subject to a particular customer standard.
Separate must-haves from preferences
List the properties that are mandatory, then the preferences that can be discussed. A fixed colour standard is different from a general request for black pellets. A named flame standard and test thickness are more useful than a broad request for a flame-retardant material.
Provide a realistic purchasing brief
Specify whether you are requesting an initial sample, a production trial or a recurring order. Give quantities with units, the destination and the preferred delivery period. This allows the quotation to address the purchase you actually intend to make.
Use a simple enquiry checklist
Include your company and contact information, material or current grade, application, colour, required documents, trial quantity, expected ongoing volume and delivery destination. If a detail is undecided, say so. The first discussion can help identify what needs to be resolved.
